Position Summary: 

  • The Organ Placement and Preservation (Donor Desk) Manager works with the Department Director in the management, development, direction, coordination of organ placement and preservation activities within Miami Transplant Institute.
  • The role of the Organ Placement and Preservation Manager is to oversee and lead Organ Placement and Preservation staff at the direction of the Department Director, consistent with clinical and regulatory requirements, and the service excellence mission of JMH/Transplant Services.
  • This role will provide daily oversight of organ placement and preservation while maintaining the confidentiality and privacy of patients, as well as providing continual regulatory readiness for UNOS, CMS and JCAHO.
  • The key responsibilities are administrative in nature and include assigning coverage and schedules, overseeing the key operational functions of the subdivision including the development of standard operating procedures that are aligned with regulatory requirements, quality assurance and performance improvement, patient safety, staff education and orientation.

    Duties & Responsibilities:
  • Manage and supervise assigned staff and functions of organ placement and preservation on a 24 hour basis; ensure effective delivery of organ allocation and preservation of all organs.
  • Ensures compliance with administrative and clinical policies, procedures, and protocols in collaboration with Department Director.
  • Maintains administrative oversight of organ allocation and organ preservation including the evaluation of deceased donor organ offers, waitlist review and patient selection, donor-recipient matching, and all aspects of the coordination, planning, and follow-up on organ offers, procurement, and transplantation procedures.
  • Actively support and promote a professional model that encourages staff participation in the development of clinical standards that is collaborative, collegial and utilizes current trends and data in professional practice (clinical and administrative).
  • Openly support and consistently communicate the mission statement of the department, division and the institution.
  • Serve as a role model and mentor to staff by responding positively to change while supporting colleagues through the change process.
  • Serve as a change agent to facilitate communication and transition that supports the mission of the organization.
  • Oversees and tracks compliance with regulatory standards, QA/QI, and reviews policy/procedures annually.
  • Leads QA activities for area supervised, including leading PI projects for area and participating in related department QAPI work. Responsible for ensuring that the operational processes and staff performance are in compliance with the various regulatory standards impacting organ placement and preservation (UNOS Bylaws and policies, CMS, and the Joint Commission).
  • Knowledge of UNOS and CMS regulations for pre transplant evaluation of all organs, communications, listing and waitlist maintenance/management;
  • Knowledge of listing criteria for all organs, upgrades, appeals and extensions; Knowledge of UNOS policy related to transplant candidacy, organ procurement agencies, types of organ offers, recipient and donor matching and communication to facilities to accomplish transplant goal.
  • Knowledge of donor management strategies impacting organ suitability for transplant. Knowledge of OPTN policies impacting organ allocation.
  • Maintain required unit records, reports and statistics for administrative purposes, ensures compliance with established hospital policies, procedures, objectives, quality control, performance improvement, safety, environmental and infection control.
  • Communicate requirements to staff as directed by the Department Director.
  • Coordinate the development, implementation and evaluation of policies and procedures designed to improve operational efficiency.
  • Monitors the appropriate initiation of post-transplant protocols by staff and ensures that all deceased donor cultures are processed.
  • Reviews data submitted to UNOS on a weekly basis or as necessary.
  • Review data entered by donor desk as needed to ensure information is accurate (procuring surgeon, refusal codes).
  • Oversees and ensures compliance with organ allocation (following match run list, refusal codes, and removal of recipient from UNET etc.).
  • Tracks adverse events (potential transmission of disease, etc.).
  • Oversee various personnel actions including, but not limited to, hiring, performance appraisals, disciplinary actions, terminations and other related activities at the direction of the Department Director.
  • Reviews and recommends changes to staffing patterns and staff utilization.
  • Collaborate with the Department Director to determine fiscal requirements of assigned areas and prepare budgetary recommendations.
  • Monitor the level of resources utilized in service delivery and determine the appropriateness of resource consumption in the service.
  • Develop action plans in conjunction with the Director to ensure budget and resource efficiency, and satisfaction with patient care delivery.
  • Works collaboratively with the physicians, management team and department director to identify, develop and implement operational processes to support organ placement and organ preservation.
  • Facilitates collaboration with organ procurement organizations by developing and fostering relationships with OPO staff and leadership.

  • Performs all other related job duties as assigned.

Experience:
Generally requires 3 to five years of related experience. Three to five years of experience with organ offers/organ placement (OPO, tissue bank, transplant center) preferred; minimum of two years' experience required. Broad exposure to all solid organ transplant a benefit. Prior management or leadership experience preferred. Prior experience with performance improvement preferred.

Education:
Bachelor's degree in related field is required. RN highly preferred.

License Certification:
Certified Procurement Transplant Coordinator (CPTC), Certified Transplant Preservationist (CTP), or Certified Clinical Transplant Coordinator (CCTC) preferred.
